YOUR PURPOSE. OUR STARTING POINT.

A local partner for your group brief.

Your agency understands the client’s expectations. A destination partner helps connect those expectations with the practical arrangements on the ground. Bring us the purpose of the trip, the group profile, and the services you need to shape or complete the program.

We work with agencies at different stages, from early client research and proposal planning to an already-booked trip that needs local support. The conversation can focus on transportation alone, selected activities and dining, or a broader ground program.

HOW VOHANA CAN HELP

The details that bring
your people together.

Ground arrangements

Discuss airport transfers, group transportation, and the movements that connect your client’s accommodations, activities, and events. Identify which reservations your agency already holds.

Itinerary & experience coordination

Explore the sequence of activities, group dining, and travel time around the client brief. We can help refine the ground program while keeping the group’s purpose and pace in view.

Local program support

Agree on the scope of on-island coordination and how your agency, client, and destination contacts will communicate. Clarify responsibilities as the arrangements take shape.

A THOUGHTFUL FIRST STEP

A useful handoff starts with a clear brief.

Send the client’s approximate dates, group size, islands, hotel status, budget range, and required services. Highlight confirmed reservations and the proposal deadline, along with who should approve changes and receive program updates.

BEFORE WE SAY ALOHA

Your questions,
considered.

What types of agency clients can you support?

We discuss ground programs for corporate and incentive groups, weddings, church and community groups, and other group travel. Start with the client profile so we can identify the right planning pathway.

Can you help before our client has booked?

Yes. Our agency inquiry pathway includes initial research and preparing a client proposal. Share what is known and which decisions are still open.

Can we request ground transportation only?

Yes. Transportation-only support is one of the scopes you can discuss, alongside activities and dining coordination, a full ground program, and on-island coordination.

How are agency rates and terms handled?

Commercial arrangements are discussed for the specific program. Ask for a proposal with clear inclusions, exclusions, payment and cancellation terms, and any agreed agency remuneration.
