Working with Vohana DMC

What does a destination management company do?

We are the team on the ground. We source and inspect venues, contract the transport, guides, dining and experiences, build the schedule, and run the programme while your group is here. You deal with one company instead of a dozen vendors.

Which islands do you cover?

Oʻahu, Maui, Hawaiʻi Island and Kauaʻi. Our team is based in Honolulu, and multi-island programmes run under one contract, with inter-island flights booked as group blocks and manifests kept current.

What size of group do you handle?

From small private groups and leadership teams to programmes of around 250 people. Tell us your numbers and we will tell you honestly what works on each island, especially where large-vehicle inventory is limited.

What kinds of programmes do you run?

Luxury and bespoke travel, corporate travel and executive services, and retreats, incentives and events: offsites, President's Club and incentive trips, kickoffs, conference ground programmes, milestone celebrations and group travel.

How far ahead should we start planning?

As early as you can, particularly for large groups, peak dates and the neighbor islands, where hotels, coaches and park reservations go first. Shorter timelines are often possible. Send your dates and we will tell you what is realistic.

Proposals, pricing and contracts

How quickly will we hear back?

The same business day, with any questions we need answered. An itemised proposal usually follows within a few business days of our first conversation.

How is pricing structured?

Line by line. Transport, venues, dining, staffing and our fee are priced separately, with no bundled day rates, so you can remove or change a line without reopening the whole programme.

Who do we sign with?

Vohana LLC. You sign one agreement for the whole programme. Insurance certificates, tax forms and our registrations arrive with the first draft, so procurement has what it needs from the start.

What registrations and insurance do you hold?

Vohana LLC is a registered Hawaiʻi travel agency and activity desk; the registration numbers are on our contact page and at the foot of every page. Every ground operator we use carries its own operating authority and insurance and names Vohana LLC as additional insured.

What happens if our plans change?

Changes are made line by line in the itemised plan, and nothing locks until you approve the written run of show. Deposits, payment schedule and cancellation terms are set out in your agreement before anything is booked. After the programme you receive a reconciliation showing what changed and why.

On the ground

Is someone available while our group is in Hawaiʻi?

Yes. A named Vohana lead is responsible for each movement, and a decision-maker is reachable on Hawaiʻi time for the whole programme, so the late-night call never has to come to you.

Do you contract vendors directly?

Yes. We contract ground services in our own name and inspect venues in person. We are the operator and the accountable party, not a referral service.

Can you include Hawaiian cultural programming?

Yes. Cultural visits, lei making, hula, ʻoli and the history of a place are arranged through practitioners and families who hold those stories, with the right introductions and never rushed.

Can you handle dietary needs and accessibility?

Yes. Dietary needs are tracked from the first manifest to the last plate, and accessibility is planned into every movement, venue and vehicle from the start rather than fixed on the day.

Travel advisors and agencies

Do you work with travel advisors?

Yes. You stay the advisor of record and your client stays yours. We run the ground in Hawaiʻi and your client hears from us only where you want them to.

How is advisor commission handled?

Commission is paid to your host agency or consortium within 14 days of the trip ending. Terms are confirmed in writing before the first booking.
